Using Complex Filters in Action Builder
Complex Filters allow you to create more sophisticated queries than possible with the default filters available on the Wall Chart query builder. This tool is ideal for answering questions like, “How many people work either for this employer with this particular job title, or at another employer with a similar but different job title?”
What Are Complex Filters?
Complex Filters operate similarly to the standard query builder interface found in other areas of Action Builder, such as the Wall Chart and Tasks. However, Complex Filters take it a step further by allowing you to link groups of filters using logical operators, making it possible to craft detailed, nested queries based on various criteria.
Example: In the example below, "Assessment" and "Follow Up" are part of a filter group with an OR operator between them. "Entity Type" is a separate filter, linked to the group by an AND operator. This query would return any individual assessed as a 1, 2, or 3 OR people who have an outstanding follow-up with any user.
Accessing and Building Complex Filters
To access Complex Filters, navigate to the Customize tab within your campaign settings. From there, you can build complex filters using the 'AND' and 'OR' logic to create nested queries. This structure allows you to identify individuals who meet diverse sets of criteria.
Creating Complex Filters
Complex Filters can be composed of individual filters or filter groups, which can be independently combined using 'AND' or 'OR' operators:
- Filter: A single criterion for your query.
- Filter Group: A collection of filters grouped together with a specified logical operator.
Key Features of Complex Filters:
- Filter Groups: Group multiple filters together and use ‘AND’ or ‘OR’ operators between them.
- Real-Time Count: The number of entities returned by your query updates in real-time as you build your filter. Use the refresh button to update this count as you refine your query.
- Delete Steps: Use the red trash can icon to remove any part of your complex filter.
- Save Your Filter: Always remember to hit save after creating or modifying a filter.
- Filter Evaluation Order: Filters are evaluated from top to bottom.
New Filter Options for Complex Filters
As of the September 19, 2024 Action Builder release, several new filter options have been added to make your queries even more powerful. These options can only be created by Leads and Admins, but they can be used by all users:
1. Connections
- Search for entities that have ANY connections, not just specific ones.
- Conversely, you can exclude entities with NO connections.
- Specify connection types to refine your search even further.
2. Missing Name Information
- Under the 'Name' filter, you can now search for entities missing essential information such as Last Name, Middle Name, or Preferred Name.
3. Include/Exclude Entities with Any Response on a Field
- Instead of selecting each response on a field individually, you can now include or exclude an entire field using two options:
- Info - Fields: Include/exclude entities based on the presence of any field.
- Info - Responses: Include/exclude entities based on the presence of any specific response.
- You can toggle between ‘Info (Fields)’ and ‘Info (Responses)’ for Connection Info Fields as well.
4. Entities with No Assigned User
- Under the "In User’s Assignment" filter, you can find entities that are not assigned to any users.
Running Complex Filters from the Wall Chart
From the campaign Wall Chart, select the Complex Filter option located at the bottom of the Query Builder. From there, you can easily select and run your complex query.
