Note: Only Admins have access to this feature.
Every organization in Action Builder starts with a default entity type: People. For many groups, this is all you’ll need—you're organizing individuals, and the default setup will cover everything. But if your work involves tracking other things, you can create additional entity types to suit your needs.
For example, labor campaigns might want to create entities for Contractors, Subcontractors, Job Sites, or Businesses. Coalitions or umbrella organizations may want to track Non-Profits, Churches, or other groups. Entity types give you the flexibility to do all of this.
Creating a New Entity Type
To create a new entity type:
- Click the three dots in the top-right corner of the screen.
- Select Entity Types from the dropdown.
- Click + Add New Entity Type.
- In the pop-up window:
- Enter the Plural and Singular names for the entity.
- Choose whether this entity should collect info like address, phone, email, date of birth, or preferred language.
- If this entity will only need a single name (instead of first/middle/last), you can select the Single Name option.
- If using the Single Name option, you can also add a Preferred Name. This helps when the commonly used name differs from the formal name. For example:
- Acronyms: Add “MSU” as a preferred name for Michigan State University to improve searchability.
- Colloquial Names: Add “Fifth Street Warehouse” for Amazon Warehouse #12345 if that's how your team refers to it.
Editing an Existing Entity Type
To make changes to an existing entity type:
- Go to Entity Types.
- Click the arrow next to the entity name.
- From here, you can:
- Adjust which data fields are used (e.g. turn off preferred language or address).
- Choose which campaigns can access the entity.
- Manage Info Fields tied to that entity type.
Using entity types thoughtfully helps keep your organizing structured and tailored to the way your team works.
